Loan payoff quote checklist: confirm the amount, date and closure

Ask the servicer for the amount needed to pay the loan in full on a specified date. Check what the quote includes and when funds must arrive, then confirm the payment was applied and no balance remains.

First step. Request a written payoff quote for your intended receipt date, including its validity period and the servicer’s payment instructions.

Before you start

US consumer auto and personal installment loans. This is a record checklist, not a payoff calculator. Contract and state rules vary; mortgage, student-loan, lease and negotiated settlement procedures need separate guidance.

1. Request a quote for the date the money will arrive

Tell the servicer that you want to pay the loan in full, rather than make an extra installment. Ask for a written quote tied to an intended receipt date. The CFPB notes that auto-loan payoff can differ from the statement balance. A calculator’s remaining balance is also an estimate, not an instruction accepted by your lender.

Record the quote’s issue date, good-through date, amount and exact conditions. Ask whether the money must be received, cleared or applied by that date and what payment methods are accepted. If the quote describes a daily interest amount, or per diem, ask when it starts and how the servicer counts days. This record does not derive a legal deadline or authorize extending an expired quote.

2. Explain the difference from the statement balance

Ask for the principal, accrued interest, fees, credits and any early-payment charge included in the total. For auto loans, prepayment terms depend on contract and state law. For personal installment loans, check the lender’s fee disclosures and loan documents. Ask about an unexplained line instead of assuming all early payoffs are free or every listed charge is valid.

The CFPB distinguishes simple from precomputed auto-loan interest. Future scheduled interest is not automatically the amount owed for early payoff; any unearned-interest adjustment needs the actual terms. Keep expected add-on refunds separate until the amount and application are confirmed. Do not subtract a refund or previous payment if the quote already includes it.

3. Coordinate the payment and any scheduled installment

Use contact details from your established statement or verified servicer channel to confirm the recipient and payment method. Keep full payment-routing details outside the notes. Ask about processing time, cutoff and the reference required to apply the funds to the right loan. A payment you have scheduled is different from one the servicer has received and applied.

If a regular automatic payment is due near the payoff, ask how it will be handled and whether the quote assumes it will occur. Do not simply subtract a pending debit or cancel a required payment because payoff is planned. If timing changes, a payment is returned or another payment posts, obtain a revised quote or written recalculation instructions before relying on the old amount.

4. Verify zero balance and any lien release

After payment, retain the transfer confirmation and ask for the servicer’s application record and final statement showing the remaining balance. If a small amount remains, request its date and explanation before treating the loan as closed. If there is an overpayment, ask who refunds it, how and when; do not count it as usable cash before receipt.

For a secured loan, ask how lien release or title documentation is delivered and verify the relevant record through the applicable official process. A payment receipt, zero-balance statement and released lien are different records. No universal processing period is promised here. Use the chronology to connect quote, delivery, application and closure, and keep any unresolved step visible.

Fictional example: two extra days change a documented quote

An earlier statement shows $10,400. A fictional September 20 payoff quote is $10,450, including $50 of explained additional interest. Delivery changes to September 22. The servicer supplies an updated quote of $10,455, confirming two additional days at $2.50 each and no intervening payments, fees or credits: $10,450 + 2 × $2.50 = $10,455.

The reader uses the revised instructions, keeps delivery evidence and checks the final application and zero-balance statement. They do not send $10,400 from the old statement or invent a per-diem rate from APR. This example uses the servicer’s fictional confirmation; it does not mean every quote can be extended or that the record tool calculates a payoff.

Before you finish

  • Obtain a written payoff for the intended receipt date.
  • Record the validity conditions and the meaning of any per diem.
  • Reconcile principal, interest, fees and credits without duplication.
  • Confirm scheduled-payment overlap and accepted payment instructions.
  • Keep application, zero-balance and relevant lien-release evidence.

My payoff quote and completion record

Use generic labels such as Loan A and Quote B. Do not enter account numbers, bank-routing details, VINs or identifying documents.

Entries are optional and stay in this page's memory. This worksheet does not send or save them. Use generic account labels and document labels. Do not enter account numbers, Social Security numbers, PINs, access codes, passwords, names or addresses, and do not upload documents. Downloading or printing creates a copy you control.

Confirm each remaining step with the servicer and retain the final records outside the page.

Put up to four documents or actions in order

Record a short fact, such as requested a quote, sent a question, or received written terms. Dates and document labels are optional. Use generic labels; keep actual documents and identifying details outside this tool.

This is a factual log. Dated events sort from oldest to newest. Events on the same date keep their entry order because times are unknown. Undated events appear separately, in entry order. A document reference is your own label, not proof that a record was verified.

Enter actual dates as YYYY-MM-DD. If a date is unknown, leave it blank; do not invent one. Dates are calendar dates, with no time zone or time-of-day comparison. This record does not calculate a legal deadline or schedule reminders.

Questions you may have

Can I use the balance shown in my online account to pay in full?

Ask whether that field is a current payoff amount for the date funds will arrive. It may show principal or another balance that excludes later interest or fees. Obtain the servicer’s written amount and instructions.

If I paid the quote, should I stop checking the loan?

First confirm that the servicer applied the funds and shows no remaining balance. Resolve any returned payment, small residual or refund. If collateral was involved, follow the separate lien-release or title process as applicable.
